AI Chatbots & Privacy: What You Need to Know…

AI chatbots like ChatGPT, Microsoft Copilot, Google Gemini and others have become everyday tools for brainstorming, drafting, and problem-solving. They feel conversational and personal — almost like talking to a trusted colleague.

But here’s the uncomfortable truth:
Every prompt you type into an AI chatbot passes through multiple systems, may be stored, and could be used in ways you don’t expect.

Even if the platform follows strong security practices, no system is 100% safe. And in today’s interconnected world, the biggest risk to your data may not be hackers breaking in — it might be what you willingly give away.

The Reality of Online Security

We’ve been trained to spot fake bank websites and phishing emails. But many breaches don’t come from strangers at all — they happen inside trusted organisations.

A few common ways data gets compromised:

  • Social engineering – Employees tricked into revealing sensitive information.

  • Unpatched systems – Hackers exploiting outdated devices or software.

  • Embedded malware – Attackers lurking in networks, quietly collecting data.

The battlefield between attackers and defenders is relentless. Hackers only need to succeed once. Defenders have to succeed every time.

Even major players like Microsoft — with vast security teams — have been breached. If they can be compromised, anyone can.

Why AI Chatbots Are Part of the Risk

When you interact with an AI chatbot:

  • Your prompts and responses travel through multiple network points (“hops”).

  • Those interactions can be stored for quality improvement, analytics, or training.

  • Each storage point creates another potential risk of exposure.

In the normal course of business, this might be harmless — but if your prompt contains sensitive data, you could be unintentionally handing it to a future hacker… or even exposing it via legitimate use if the chatbot company reuses prompts for model training.


The Four-Point Privacy Check

Before typing into a chatbot, ask yourself:

  1. Is it Personal?
    Does it include names, addresses, IDs, or other personal identifiers?

  2. Is it Private?
    Does it involve sensitive topics — medical, legal, or financial matters?

  3. Is it Commercially Confidential?
    Would it harm a company if competitors saw it? Could it affect stock prices or deals?

  4. Is it Legally Protected?
    Would sharing this violate laws, regulations, or security classifications?

If the answer to any is yes, that information does not belong in an AI chatbot prompt.


A Simple Rule of Thumb

If you wouldn’t shout it from a rooftop, don’t type it into a chatbot.

That mindset will keep you safe — whether you’re using AI to draft an email, explore a business idea, or research a problem.


The Future of AI Privacy

Providers like OpenAI, Microsoft, and Google are under pressure to improve privacy controls — from giving users more transparency into how their prompts are stored, to allowing “no-train” settings for sensitive sessions.

But until those become standard, security is a shared responsibility. Chatbot providers can protect the infrastructure. You have to protect what you put in it.
